Start with your project manager

Your assigned project manager is always the first line of communication. They have the plans, the model, the crew schedule, and the authority to make decisions on your job, so going to them first is the fastest way to get an answer and keeps everyone working off the same information. Only if your project manager has become unresponsive should you escalate.

How we run your job

Our build process and field procedures are the same on every project, so your team always knows what to expect from us on site.

Plans and survey verified before mobilization

We overlay the current site plan against the engineer's survey in our 3D software and confirm foundation placement, scale, and site location. If anything disagrees, your project manager raises it before we mobilize.

Every phase modeled and quantified

Topsoil strip, house excavation, utility runs, driveway cut, backfill, grading, and retaining walls are each modeled with cut and fill yardage. That model is what we bid, dig, and bill from.

GPS machine control in the field

The approved model is loaded into our excavators and dozers, so design line work and depths live in the cab and our operators hold exact grade against the surveyor's plan.

Scheduling and daily coordination

Your project manager confirms start dates, sequences crews around your other trades, and schedules haul trucks. Give us as much notice as you can on schedule changes and we will work with it.

Site conduct and safety

Our crews follow your site rules, keep access and haul routes clean, protect utilities and stakes, and hold a daily safety expectation. Please let your project manager know about any site-specific requirements up front.

Line-item billing

We bill by the same stages we bid, and only for work completed. Progress is verified on site before invoicing so your team can check our numbers against what is in the ground.

Anything outside our scope is written down first

If you need work that was not in our contracted scope, we do not start until your project manager has signed the change order authorization below on a time and materials basis. This protects both of us.

Change order authorization (T&M)

Use this form any time you need something done that was not included in BTM's contracted scope of work. Fill it out, sign it, and submit it — your BTM project manager receives it and work can begin.

Time & materials terms

By signing below, the undersigned representative of the Builder authorizes BTM Contractors to perform the work described above on a TIME AND MATERIALS (T&M) basis. Because this work is outside BTM's contracted scope, it is not covered by the original bid and cannot be priced as a fixed sum in advance.

T&M means the Builder will be billed for the actual labor hours, equipment hours, materials, trucking, and subcontracted services required to complete the described work, at BTM's then-current published rates, plus applicable taxes. Any hours or quantities noted on this form are good-faith estimates only and are not a guaranteed maximum price.

BTM will track daily labor, equipment, and material tickets for this work and make them available on request. Invoices for T&M work will appear as separate line items from the contracted scope. Delays caused by weather, site conditions, other trades, or design changes may affect the hours required.

No T&M work will begin until this authorization is signed by an authorized representative of the Builder. The undersigned confirms they have authority to approve additional cost on this project.
